Deputy Estates Manager

Reports to:

The post holder will report to the Estates Manager

1. Job Purpose

The role of the Deputy Estates Manager is to create, resource and implement a schedule of proactive buildings and grounds developments across both schools whilst maintaining responsibility for the school’s fleet of vehicles and day to day management of statutory compliance.

2. The Role

2.1       To manage the rolling schedule of building and maintenance projects across all school sites including drafting specifications, gaining quotations, recommending the award of contractor, manage contactors on site and ensure professional delivery of contractor maintenance and capital works.


2.2       To work within agreed budget perimeters for projects. Advising the Estate Manager on required purchases and assist in forming the capital expenditure programme.


2.3       To be part of the Bursars management team to report on strategic and emergency planning, in addition to be part of a variety of buildings related working groups.


2.3       To Assess and direct job requests, repairs and maintenance. Ensuring rectified through the in house team or to call in appropriate contractors where needed.


2.4       Through leadership, management and a hands on approach arrange and deliver routine, scheduled and preventative maintenance of buildings, equipment and premises.


2.5       To be responsible for the daily operation and maintenance of the school’s fleet, through the management of the maintenance team.


2.6       To ensure the maintenance and operation of the security, fire, access control, CCTV, heating, water and other on-site systems covering both in house responsibilities and utilising external contractors where necessary.


2.7       To line manage and develop the in house maintenance staff through identifying training and developmental requirements. Ensure during periods of team leave/absence appropriate cover is in place including relevant handovers.


2.8       To take a key role in Health and Safety, how it is observed and adhered to across all sites. This includes the management of asbestos, water awareness and fire safety. To carry out risk assessments as appropriate.


2.9       To be responsible for the management of contracts and external contractors across all sites.


2.10    To maintain all relevant documentation including building and site plans.


2.11    To assist the Estate Manager in keeping up to date with Facilities Management trends and developments. Namely in key areas such as asset managing and IT infrastructure.


2.12    To act as an out of hours contact in the case of emergencies. This includes being a listed key holder on the emergency contact list for emergency services. A mobile phone will be provided by the school for this purpose.


2.13    To assist in the security of premises both generally, out of hours and key school events.


3. Knowledge Skills and experience

3.1       To have substantial experience of managing projects from conception to completion.


3.2       To have recent experience of management of buildings, grounds and sports facilities.


3.3       To have a successful track record in budget management including holding and forecasting.


3.4       To be a proactive, self-motivated individual with ability to manage own workload and that of others.


              3.5       To have strong management skills and to have formed part                  of a successful team.

3.6       To have an excellent understanding of, and commitment to, Health & Safety. Including that relating to fire, water and asbestos.


3.7       To have a high level of communication skills both written and verbal in order to deal with a wide variety of people.


             3.8       To have strong IT skills and a good working knowledge of                   windows base systems.

             3.9       To be able to work under pressure and meet deadlines.

3.10    To have a flexible approach to the tasks within their role and indeed the requirements of the School.


3.11    To undertake any other such duties commensurate with the role as directed by the Estates Manager or on their behalf.


4.         Desirable


             4.1       To have some knowledge or experience of fleet                                   management.

4.2       To have had experience working within a school


4.3       To have facilities related qualifications such as IOSHH/NEBOSH.


4.4       To have experience of managing a team.




5. Job requirement

5.1       The post holder will be expected to undertake a Disclosure and Barring check from Disclosure and Barring service amongst other safeguarding checks as stipulated by the Department of Education. In addition, safeguarding children in education training must be undertaken.


5.2       Out of hours working will occasionally be required be this due to School events or emergencies. This would be taken as time in lieu or paid as overtime at the Estate Managers discretion.


             5.3       To provide weekend cover in the absence of the Site                           Manager.

5.4       To hold a full UK driving license with a willingness to undertake D1 training (funded by the School) in order to drive and manage the school fleet.



Hours of Work

The hours of work are from 8.00am until 5.00pm Monday to Friday (45 hours per week including breaks).

Included in the above are a 60 minute break for lunch and two 15 minute breaks (one in the morning and one in the afternoon) each day.

To cover for the Site Manager over two weekends of the year.

Occasional additional evening and weekend work will be required paid as overtime or taken in lieu
