The purpose of the Workplace Manager role is to manager a number of designated sites to deliver safe, functional, agile and cost effective workplaces for AXA Employees. 

What you will be doing: 

Facilities Management:  To manage services to meet the operational needs of the Businesses in a professional and cost efficient manner achieving the best balance between cost, standards and risk.  Measure, manage and reduce AXA’s overall environmental footprint by implementing energy efficiencies.

Supplier Relationship Management:  Manage local operational relationships between AXA and third party suppliers to maximise the benefits from contracts to AXA. Ensure that SLA’s and KPI’s are achieved and that service failures are remedied or escalated.  Drive innovation in processes and service delivery.  Build a sustainable “win-win” partnership with the FM Service provider.

Demand Management:  Strategic space planning.  Promote the benefits and seek opportunities to implement agile working to reduce.  Challenge business requests for additional space or desks and office moves and seek opportunities to reduce occupied space wherever possible.

Stakeholder Management:  Develop role as trusted Business Partner, building relationships with key stakeholders, understanding and challenging the business requirements.  Stakeholders include IT, Health & /safety, BCP, Internal Comms, local managers and AXA Tech.  High quality, timely and relevant communication to internal customers at all levels.

Project Management:  Support the Building Project Manager in the delivery of property projects for the region e.g. office refurbishment, relocation, plant and equipment replacement and fabric maintenance, ensuring that business disruption is minimised and internal customers are informed when necessary.

Finance:  Delivery of all services required within the agreed budget.  Achieving best value for money in delivery of property services and projects.  

Risk Management:  Identification, mitigation and reporting of business continuity, physical security, statutory compliance and financial risks relating to the properties.  BCP team member for the sites.

Statutory Compliance:  Ensure that the sites comply with all statutory legislation, regulations and AXA's policies, including but not limited to Health & Safety, Control of Asbestos, Environmental Management, Control of Contractors, Building Regulations, Fire Regulations and Security.  Accountable for all aspects of Health and Safety relating to the ownership, occupation and maintenance of the properties. 

Business Services:  Manage the Business Services teams to deliver professional and cost efficient services e.g. reception, post room and porterage.

Qualifications

MIWFM

Educated to Degree level or Graduate Calibre 

IOSH Qualified

Skills and Knowledge

Strong communication, negotiation and presentation skills

Strong influencing and relationship management skills

Good written and numerical skills

Up to date understanding of Facilities Management.

Sound understanding of relevant Health & Safety legislation.

Project management skills

Self directed analysis report writing

Proficient in the use of Microsoft Office 

Experience

Significant Property or Facilities Management experience

Budget management

Management of multiple sites

Management of third party suppliers
