The Condé Nast Facilities Department is looking for a Facilities Administrator to provide general support to make sure House Services runs efficiently, especially during times of staff shortages and also personal administration to the Head of Facilities.

This is a unique opportunity where we are offering (optional) financial study sponsorship for candidates who will gain a professional qualification in BIFM Level 2 Certificate, Facilities Services Principles.

Daily tasks will include answering phone calls, emails, diary management, filing, generating reports, data entry, managing the post, checking invoices, ordering stationary and other online procurement.

You will be the main point of contact for facilities requests and administering the help desk to ensure that requests are passed to the correct department or contractor.

Other responsibilities include ensuring health & safety files are kept up to date, carrying out internal paperwork audits and becoming a trained member of the workstation assessment team and carrying out DSE assessments as required.

You will work closely with the Head of Facilities, Facilities Manager, House Services team members, external contractors and all internal members of staff. Therefore good relationship management and strong communication skills are essential.

 

Key Duties & Responsibilities

  • To provide personal administration to the Head of Facilities
  • To provide general administration to the Facilities office and support House Service departments in times of staff shortage
  • To be the main contact for facilities requests and administering the helpdesk
  • To keep Health & Safety files up to date
  • To work closely with the Facilities team to ensure the efficiently smooth running of the House Services department

 

Essential Skills & Requirements

  • Being computer literate with good knowledge of MS Office package
  • The ideal candidate will be efficient, organised, professional and self-motivated.
  • Excellent communication skills are essential.
  • Basic knowledge of Health and Safety, budgets, and facilities would be beneficial
  • Good relationship management and strong communication skills
  • Organisational skills
