As the Head of CAFM, you will be primarily responsible for running the CAFM (Computer Aided Facilities Management) function within OCS IT, including responsibility for the support and development of the application as well as business mobilisations.

Reporting into the Head of Applications, the Head of CAFM will manage a centre of excellence with a team of skilled CAFM individuals working alongside the wider business, external vendors and project owners to deliver Concept Evolution and supporting technology into the OCS business.

You will also be responsible for ensuring the system is developed and supported to meet the needs of the business including managing a portfolio of work, mobilisations, and business expectations. This role is expected to utilise best practice in project management, application support and application standards for processes and governance to deliver excellence to the UK and wider global business

This position will be expected to work alongside bid teams as a subject matter expert to architect and sell the future of the application and ensure that expectations for mobilisations are collected and managed.

The Head of CAFM will be based in our Birmingham location, but there will be expected occasional travel to other UK offices.

Responsibilities will include:

  • Line management of the CAFM team with circa 6 direct reports
  • CAFM vendor management for operational efficiency including escalation for critical issues impacting the business
  • Actively working with all stakeholders of CAFM (within IT and the wider business) to ensure responsibilities are clear and aligned to provide efficient system administration and support processes
  • Working alongside the OCS global CAFM leads to ensure consistency and common practice of the OCS CAFM solution
  • Prioritising and managing the workload of the CAFM team in alignment with the PMO and the wider business decision makers
  • Managing delivery of project work and large mobilisations including project planning, tracking, managing expectations of the business / PMO / key stakeholders. Providing PMO reporting as necessary for the project office
  • Working with the Head of Applications, Solution Architects, and Project Teams, ensuring that all CAFM solutions are aligned to OCS strategy and architecture principals
  • Providing support and expertise as a subject matter expert to projects and programmes that impact the CAFM application
  • Supporting the IT bid manager with innovation and bespoke requirements that are required for pre-sales activities
  • Driving strategy and continuous improvement within the IT CAFM team and wider business stakeholders and presenting opportunities back through the relevant channels for decision and progression
  • Promoting and policing application best practice including user access controls, proactive maintenance and application monitoring
  • Driving the maintenance of a library of CAFM related documentation to include processes, support manuals, training documentation, technical documentation

Experience required:

Education/Qualifications

  • Good standard of education, degree level or above
  • Prince 2 or other project management experience or qualification
  • Change management experience or qualification
  • Certificate / qualifications in a leading CAFM Application e.g. Concept Evolution
  • Facilities Management qualifications are desirable but not essential
  • ITIL qualifications are desirable but not essential

Working experience/Personal attributes

  • Experienced in managing a team of application specialists to deliver support and continuous improvement
  • Experience with hands on project management across a portfolio of projects and deliverables
  • Knowledge of managing, architecting and promoting the Concept Evolution CAFM system or other similar CAFM systems
  • Able to work with business functions and persons at all levels to manage requirements, deliveries and expectations
  • Previous experience of working in a mixture of project and BAU environments
  • Possess strong leadership skills including people management, cross group negotiation, influencing and conflict/issue resolution skills
  • Excellent communication skills - articulate and focused, proficient written and verbal skills which can be tailored to both technical and non-technical audiences
  • A naturally positive attitude and an inclusive approach to building partnerships, well organised and self-motivated
  • Excellent organisational and time management skills with the ability to manage conflicting priorities and deliver to deadlines
  • High level of application knowledge of business systems and the ability to translate that knowledge to the wider business
  • A desire to own all aspects of the CAFM application and to drive a team to excellence
  • Self-motivated with great attention to detail
  • Ability to think logically and systematically in an innovative and flexible manner
  • Ability to deal with a range of issues and demands
