This position will be providing operational management of the UK Estates Function, including accountability for financial performance of the estate, managing 3rd parties delivering Legal and Other Requirements, maintenance and project works into the estate and being the lead escalation point for operational performance escalations across the estate, including liaison with senior c-suite stakeholders.

You will be contributing to and delivering the Real Estate Strategy including the establishment of CAFM (using the new global standards) as the means of managing the estate and contributing to the annual cost-budgeting process for all OCS Sites.

Responsibilities will include:

  • Coordinating communications with all site-based responsible people including project managing all daily, weekly and monthly tasks
  • Performance managing all 3rd parties associated with delivering services to the OCS estate, including monthly performance reviews with those defined as key
  • Performance managing 3rd parties responsible for delivery of Legal and Other Requirements Services (inspections, remedial work and management/coordination)
  • Performance managing 3rd parties responsible for delivery of the annual PPM plan and any reactive maintenance requirements for all OCS Sites to ensure all actions are delivered per plan (including follow up and proactive chasing of 3rd parties)
  • Managing all site churn and acquisition of new sites and disposal of others
  • Managing the interface between tenants and landlords and 3rd party advisors to ensure correct operation of the estate in line with all relevant laws (including managing the Cannon TSA)
  • Managing space & cost allocation across the estate, seeking sub-let, surrender and or re-rating opportunities
  • Managing any projects required at OCS Estates, to ensure all projects are delivered per plan (including follow up and proactive chasing of 3rd parties)
  • Managing all stakeholders (influencing by being relevant and taking a proactive interest in the strategic performance of the business)
  • Provision of monthly management information reports, including financial performance (and liaison with Group Finance etc)
  • Managing all Estates based communications including but not limited to the Estates Intranet Page
  • Seeking continuous improvement and growth opportunities - personally, within own portfolio area or group-wide

Experience required:

Education/Qualifications

  • Degree educated - Desirable
  • Ideally RICS certified or willing to work towards a similar qualification
  • IT literate - Microsoft office

Working experience/Personal attributes

  • Able to evidence strong experience in a similar role, preferably from a complex blue-chip organisation providing an excellent customer experience and high-level written communications (reports, emails etc.)
  • Stakeholder leadership and management skills with sincerity and credibility
  • Tenacious project manager, ensuring delivery with a sense of urgency
  • Background from a fast paced, customer service-based organisation, ideally in the Facilities Management sector
  • Has managed complex issues while ensuring a great customer experience
  • Financial reporting knowledge in a blue-chip environment with a high level of accuracy and precision in budgeting and reporting
  • High level of personal resilience and self-belief
  • Excellent communication and influencing skills - being a true ambassador for OCS Estates
  • High operating standards and levels of expectation
  • Problem solving and ownership of issues
  • Strong moral compass, being seen as an advocate for the OCS values, and high professional standards
  • Relentless focus on health and safety standards
