OCS currently utilises the Innovise Timegate product to manage service delivery, record attendance and calculate indicative payment for its front-line core contract and variable paid security staff employed on a high-profile National Government Security Contract.

Scheduling is centralised within the Helpdesk. We are looking for an experienced workforce management professional to oversee the use of Timegate by the scheduling team as well as operational staff. The successful candidate will review current practices and procedures and propose new more effective, efficient ways of utilising Timegate to improve service delivery. You will provide the Governance required to ensure Timegate is used in accordance with best practice to ensure that core contracted hours are controlled, and that variable works are correctly administered. They will ensure that all works delivered are provided for billing. They will also be required to run regular reports to assist the four Senior Regional Managers and circa 30 Area Managers in efficiently managing their areas of responsibility. In addition, you will be required to provide regular reports to members of the Senior Management Team to help manage service delivery.

You will be providing support across the following two workstreams:

  • Timegate All Sites – deployment of the Timegate product and operating model to all applicable front-line colleagues and customer locations of the Her Majesty's Courts & Tribunal Service (HMCTS) Contract (approx. 1400 users)
  • Get-Well-Plan – assisting existing Timegate users who have issues and resolve by analysing and implementing a fit-for-purpose solution. This could include training, configuration, compliance etc.

This role will liaise with other shared services Timegate professionals to ensure that Timegate is used effectively and efficiently across the HMCTS Security Contract.

Responsibilities will include:

  • Indirectly overseeing the work of the dedicated schedulers within the Shared Service Helpdesk to ensure that Timegate is used effectively to manage staff rostering on the HMCTS Security Contract
  • Supporting the Commercial Manager in ensuring that no changes are made to the delivery hours of the core contract site cards without going through the correct processes.  Ensuring that all variable works are correctly added to Timegate and that accurate billing is available from Timegate
  • Ensuring that new starters and leavers are updated and that the supporting records are kept up todate, including qualifications, leave, contact details etc.
  • Directly engaging with operational managers and colleagues to ensure correct use of Timegate
  • Ensuring all change management activities are completed to ensure successful cut-over and ongoing adoption of Timegate
  • Maintaining project plans for all Timegate related projects or to act as the Timegate representative on projects that impact on Timegate
  • Leading on introducing more efficient effective ways of using Timegate nationally across the contract
  • Interrogating Timegate to ensure Governance and Compliance
  • Completing arbitration compliance reporting of any schedule adherence issues across OCS
  • Responding to and processing requests from operational managers for training, guidance and compliance issues
  • Assisting in the mobilisation of new contracts within the time and attendance (T&A) system
  • Ensuring that all data within the scope of control of the T&A Compliance function is consistent and accurate
  • Assisting in the production of detailed and high level management reporting on performance of contracts against budget and the mobilisation of contracts within the Time and Attendance initiative
  • Supporting the UK business within a programme of change within the HR and Time and Attendance Landscape
  • Supporting the business with reporting from the Time and Attendance system to aid in the day to day administration and management of contracts
  • Supporting the accurate build of gross wages in conjunction with the Payroll Team

Experience required:

Education/Qualifications

  • Previous experience of the Innovise Timegate product, including configuration and administration - essential

Working experience/Personal attributes

  • Previous experience of operational workforce management & usage of Timegate system - essential
  • Structured and disciplined approach to delivery
  • Good engagement skills to build relationships with operational colleagues
  • Ability to cope well under pressure while managing several inflight mobilisations
