The nature of the post requires the willingness to work to a flexible roster, according to the necessities created by security duties, early mornings, evening and weekend events.

THE ROLE

We have a requirement to employ an experienced Facilities Manager for Abbeyfield School. This role is initially an interim position due to maternity leave.

This role could be fulfilled by an existing experienced Site or Facilities Manager who would then be able to oversee the performance of the PFI contractors as well as work with the leadership team to maintain the existing high standards of compliance and health and safety arrangements.

The successful candidate will be responsible for the oversight of the management of the school premises and facilities, including site and grounds maintenance, Health & Safety, contractors, security, (assist in managing) cleaning and (assist in managing) catering services, ensuring that the school site provides an attractive, safe, secure, clean and welcoming environment. The post holder will act as primary key holder for the school premises and PFI main contact for Amey (PFI) contract manager, site manager, site team, refectory and cleaning team as well as Northamptonshire County Council and associated PFI partners.

This position has a key responsibility to ensure that school operations are consistent and that PFI

contractors perform in accordance with their contract.

You will oversee contracted arrangements and have responsibility for reporting variations to standards expected in the contractual arrangements such as staffing, lifecycle budgeting, reactive and planned maintenance.

FACILITIES AND HEALTH AND SAFETY RESPONSIBILITIES

  • Participate in school processes as required.
  • To comply with the school policies and codes of practice in relation to Health and Safety, GDPR, Equality and Diversity and Quality Assurance.
  • To work flexibly in the interests of the school as required.
  • To participate in the Trust’s Performance Management Scheme and undertake staff development activities as appropriate.
  • To be responsible for promoting and safeguarding the welfare of children and young people. You are responsible for, or come into contact with, and outside of this, to exercise vigilance at all times.
  • Work with the in-house Facilities team and PFI Maintenance Service Provider to ensure that reactive maintenance works are attended to within the required rectification times (SLA).
  • Manage to Premises and Health and Safety budgets at Abbeyfield School.
  • To oversee all aspects of the Estates function, ensuring that all duties are completed efficiently and effectively including setting and monitoring of performance management targets for the Facilities Team.
  • Responsible for ensuring that all reactive works are documented by the contractor and to report compliance status on CET Facilities Management Systems and an accurate record is maintained.
  • To work flexibly to meet the needs of the school, combining planned and regular tasks with day to day needs and emergency responses.
  • To ensure the contractor achieves responsibilities for cyclical works plans, planned maintenance programme, condition surveys and compliance reports ensuring routine repairs, planned maintenance and facilities projects are carried out as required in a safe and efficient manner.
  • To ensure that the buildings and grounds are maintained and operate in a safe and secure way, especially during severe weather conditions.
  • To undertake regular audits in relation to the PFI SLA, ensuring site is in line with statutory compliance.
  • To assist on managing on-site cleaning operations to ensure a daily service in accordance with agreed specifications, service contract and function in line with the PFI.

  • To assist the Director of Estates and Facilities/Regional Facilities Manager with the preparation of bids for specific project and premises improvement grants.
  • To provide leadership for Health and Safety to ensure compliance with school health and safety procedures and legislation, COSHH regulations, and codes of practice and education sector best practice.
  • To be responsible for, and fully participate in, an operational staffing rota which includes cover for holidays, early mornings, out of hours events, emergency call-outs, weekend working and staff absences.
  • To manage aspects of external agencies including but not limited to, school vehicle management including policies, procedures, usage and maintenance requirements. GOALS centre main contact, ensuring collaborative working relationship and to monitor contractual compliance.
  • To attend internal and external meetings as required and provide regular facilities update, reports and feedback inclusive but not limited to

PFI.

  • To ensure to maintain suitable Management Information Systems that demonstrate how we meet our statutory responsibilities, these need to be maintained in accordance with Trust guidelines.
  • To oversee the school booking system for school and public events in accordance with PFI  regulations.
  • Lead on school run site changes/projects, organising and overseeing routine maintenance checks that fall outside of the PFI contract.
  • Management of supplies falling under the school’s responsibility (thinking of Covid supplies here mainly, most other things covered under PFI).
  • Liaise with the HR Officer regarding DBS status of Amey employees, subcontractors and associated partners to ensure safeguarding responsibilities met.

  • Proactively promote an atmosphere of respect, recognition, celebration and mutual support in the school.
  • Maintain an environment which feels safe and enables students to report any concerns or complaint, adhering to and maintaining up to date knowledge and understanding the school safeguarding policy and procedures.

  • Support partnership working, particularly with sister schools within Creative Education Trust, to ensure that this is a strength of the school and enhances the opportunities available to students.
