Maxwell Stephens have been assigned by a leading corporate company to recruit for a Head of Building Management based at their iconic landmark HQ in the City.

You will manage the Service Charge budget, all hard and soft services as well as support the tenants in their occupation of the building. You will also manage all building management matters for other offices including Landlord and Tenant, oversight of effective maintenance and review of all service charge costs.

Key Responsibilities

Building Services:

  • Management of provision of all building services   Building Services include but are not exclusive to engineering and PPM, cleaning, pest control, security systems, manned security, waste management, environmental initiatives, fabric refresh, landscaping and plant care, etc Project management for all projects and ensure all small or large works projects are implemented and delivered on schedule and within budget Manage tenant requirements/issues and landlord and tenant relations and communication Run tenants’ meetings quarterly or as required Control budget and manage capex/ life cycle expenditure planning and run the Service Charge for the benefit of all its occupiers Provide support and services to the FM teams of co-occupants as appropriate Responsible for ensuring all statutory compliance for building and engineering systems and services Communicate environmental and building management matters to staff (eg: intranet news items)

Contract Management:

  • Manage building services partners and ensure Service Level Agreements are met Manage consultants/3rd party suppliers/contractors as required Undertake bench marking and/or tender exercises for all major contracts at least every 3 years Manage energy management policy and actively seek to find initiatives to improve environmental footprint

Budgets

  • Setting and managing the Service Charge   Responsible for all budgeting relating to building services Provide management information/reporting as required

Environment, Health & Safety:  

  • To act as Global Head of Environment, Health and Safety for all properties (as supported by regional office COOs) and to and run the quarterly Global EH&S committee meetings Ensure the good management of EHS at all properties and provide a safe working environment and safe systems of work  Ensure that all employees and contractors understand their responsibilities and have available training in EHS  as appropriate Management of annual fire evacuations and appointment and training of fire wardens  Assistance with fire risk assessment and statutory audits Management of training and appointment of first aiders Administer a system for, initial desk assessments and 3rd party desk assessments where required and associated actions Accident Reporting, Incident Reporting and organise statutory training as appropriate  Implement environmental targets in line with best practice (SBTi) and Carbon Net Zero plan and strive to reduced operational emissions to meet these goals Calculate and disclose Annual Global Operational Environmental performance for publication in the Annual Report Complete Group’s annual environmental performance disclosure to the Carbon Disclosure Project (CDP)

Business Continuity:

  • Incident response to ensure business continuity Oversee and validate the Standard and Emergency Operating Procedures for all UK properties Assist with Business Continuity and Disaster Recovery planning and operations as require

Operational Risk:

  • Monitor all Building Management processes to ensure compliance and control for operational risk Report to bi-monthly RAF meetings and any other meetings as required Carry out safety and security audits and fire risk assessments on all premises Ensure compliance at all times and that legal standards and internal policies and procedures are met Manage weekly access control reconciliation and conduct monthly security procedures audits and attend meetings

Line Management:

  • Direct line management responsibilities for the Deputy Building Manager as well as oversight responsibility for large teams of FM contract management staff  

Person Specification

Lead the team to provide excellent service Be a cool head in a pressurised environment Understand the importance of budgetary control Understand the complexities of running contracts and supplier management Have a detailed and rigorous approach to all EHS matters Be willing to respond to events at any time and to do whatever is required Preferably educated to degree level with a Health & Safety qualification (NEBOSH or more) You will be looking to work for an exciting and innovative asset management company which strives to excel in delivering the highest possible performance to its clients. Making sure that the infrastructure and working environment are performing at their optimal level will be your priority You will have a proven background working at a senior level as a multi-site Facilities Manager or similar As Global Head of Environmental, Health & Safety, you will be expected to take a lead in ensuring best practice is followed in all offices globally You will be familiar with running a service charge budget and managing landlord and tenant relations including quarterly meetings You will be expected to maintain effective professional relationships with key stakeholders within the organisation as well as our tenants, contractors and suppliers and to contribute as a key member of the CRES team
