The purpose of this role is to support the Head of Property Portfolio Management in delivering the standards and expectations required of our global third party property managers and other real estate suppliers. The position will lead a team of 2 Associate Directors and work closely and other teams within the Group. This is a permanent full time position based in London.

Key Responsibilities:

  • Global oversight of Supplier Relationship Management activities for Property and Facilities Management suppliers, including managing a team overseeing their own portfolios of suppliers. 
  • Acting as policy owner for the group supplier policy and working with others within business engaged with supplier relationship management for all business contracts to help ensure compliance.
  • Promoting and championing the outsource arrangements within the business
  • Shaping and managing the governance arrangements between all parties which include Partnership Board meetings (CBRE) and regular relationship management review meetings.
  • Providing status reports and updates to senior management and board level as regards the performance of the service providers (including where recommendations to trigger penalty measures on the service provider is required); escalation and resolution of issues arising.
  • Pro-actively manage the performance and career prospects of the two direct reports and create a culture of opportunity and support; ensure all people management responsibilities are undertaken in accordance with the relevant business/HR policies, procedures or guidelines.
  • Providing a senior escalation point for business on matters of service performance, questions and complaints.
  • Acting as Relationship Manager for a portfolio of external Property Management suppliers, with activities including:
  • Developing supplier strategy, in consultation with Head of Property Portfolio Management, Portfolio Asset Managers and other key stakeholders
  • Supplier performance management including creating and monitoring of service levels and key performance indicators; escalation and resolution of issues arising
  • Preparing reporting as required for formal relationship and other governance meetings
  • Ensuring compliance with relevant group policies
  • Contract management
  • Procurement activities including arranging supplier tenders and new supplier onboarding
  • Identifying opportunities to strengthen the service relationship
  • Pro-active involvement in all change management involving the Service Providers
  • Monitoring the provision of fees and ad hoc charges from the Service Providers and signing off to costs before payment is released
  • Establish a close and effective working relationship with the other members of the Property Portfolio Management team.

  • Understand the Health and Safety responsibilities appropriate for your role and ensure that they are undertaken in accordance with the relevant Company policies, procedures and guidelines. This includes responsibilities relating to your own H&S and others affected by your actions. Any concerns relating to H&S risks must be escalated to your line Manager and the Company’s H&S Manager.
  • Understand the Company’s Sustainability vision and apply the Sustainability Strategy as appropriate for your role.
  • Fulfil regulatory requirements, including timely completion of all regulatory training and declarations.


Experience and/or Skills: 

  • Real Estate professional (preferably RICS qualified).
  • Comprehensive understanding of Property Management and the mechanics of the real estate management process
  • Experience of supplier relationship management within the context of 3rd party property and facilities management firms desirable
  • Extensive senior experience of managing third party service provider relationships 
  • Possess the ability to set up controls and monitoring mechanisms
  • Excellent communication (written and verbal) and interpersonal skills
  • Confident communicating to senior management at Board level
  • Demonstrate a “can do” attitude and ability to shape and grow a new department with the necessary controls and focus
  • A passion for building relationships within the Supplier Management arena
  • Have experience of managing people and their performance
