JOB TITLE - Estates Operations Manager (EOM)

LOCATION - Manor Vineyard, Gay St (travel to London once a week and regular travel to other Nyetimber sites will be required).

RESPONSIBLE TO - CEO and Head Winemaker (dotted line responsibility)   

RESPONSIBLE FOR - Estates and Facilities Administrator, Facilities Manager (FM), Health and Safety Officer and Office Manager

KEY COMMUNICATORS - CEO, Head Winemaker, Winemaker, Viticulturist, Private office, Finance, external regulatory bodies and third-party suppliers.

ABOUT THE ROLE

In this Senior position, the Estate Operations Manager (EOM) will not only report to the CEO but will also be working very closely with the CEO to create strategic and operational plans for a wide range of Estates management, Facilities management and operational services. The EOM will (after approval by the CEO) procure, manage and deliver a range of Estates improvement and development projects across the Nyetimber portfolio. This person should assume the lead and control of the relevant buildings and land projects on the estate, The projects will vary in value and range from land acquisitions, refurbishment, remodelling and new build projects which is detailed below. In this challenging and varied role, you will work with a wide variety of key stakeholders, ensuring that projects are delivered to meet high expectations.

This role plays an essential part in helping to deliver Nyetimber’s strategic plan through innovative and creative ways of using our Estate to improve the efficiency and utilisations of all our sites. The estate ranges across multiple counties (West-Sussex, Hampshire and Kent) including a wide variety of agricultural land, listed buildings, state of the art new buildings with both owned and leased properties. It also includes requirements within the Estates and Facilities team to aid in the private estate, and the EOM will oversee this, ensuring a proper execution including maintenance by the Facilities team.

 

RESPONSIBILITES & DUTIES

Management 

  • The EOM will be actively involved in overseeing the departmental staff management.  While the FM will manage the daily activities for the Estates and Facilities team the EOM will ensure the FM is fulfilling their responsibilities including recruiting, training and motivating the employees. This also includes ensuring difficult decisions or conversations regarding the team members happen and ensuring that they are representing the Nyetimber brand as a British Luxury brand.
  • To ensure excellent communications which includes both formal reporting and ad-hoc emails and discussion (in person or video/conference call) in the first place with the CEO but also within his/her team as well as with other departments and key stakeholders across the business.
  • Working closely with the Estates and Facilities Administrator and where relevant with each of the Office Managers/other relevant on-site person at each site to ensure the Estates and Facilities department delivers site needs. 
  • To act as a positive ambassador of Nyetimber at all times including maintaining good relationship with our neighbours.
  • Creation of annual Estates and Facilities OPEX, and CAPEX budget as well as Non-Controllable budgets for all buildings cost centres. Close liaison with other department heads and building projects teams & consultants as required.
  • Having a ‘Brand Mind’ that translates Nyetimber as a British luxury brand in the appearance of the estate. To provide this outlook on other relevant topics. This includes overseeing hospitality activities and providing recommendations where necessary to the Events and Senior Marketing team.
  • To regularly visit the London office to keep on top of brand and company developments, both by interacting and having discussions with the CEO and the teams.
  • To regularly visit the Winery in Crawley to interact and have discussions with the Winemakers. From time to time to also visit the Vineyards, other lands and buildings that are further away from Gay Street.
  • To create and maintain a Business Continuity Plan system and Disaster Recovery Plan, to ensure robust plan s formulated and updated as changes occur.
  • The EOM will be responsible for managing the Health and Safety Officer and for overseeing all Health and Safety related issues

 

 

Land and Buildings

  • Create a strategic and/or operational plans for all land and buildings, working closely with the CEO and Senior Management team. 
  • To have a pro-active role where necessary in the preparation, prioritisation, budgeting and coordination of any planned construction works, long-term maintenance and/or one-off improvements by presenting ideas and proposal to the CEO and Head Winemaker.
  • All land, property, building and/or lease procurement negotiations are led or delegated by the CEO in conjunction with those that are responsible for the key areas. Once the transaction is taking place, you will be responsible in leading the formalities and transfer, together with the Finance team.  For smaller scale projects where consultancy is not involved to ensure all procurement is done by the EOM according to budget, and proposals have agreement by the CEO.
  • Ensure that all projects and contracted works represent value for money for Nyetimber and evaluates sustainability considerations, and that audit controls, appropriate and effective risk management are in place.  
  • Responsible for managing and mitigating on-going risks, issues and produce mitigation plans where necessary.
  • Responsible for the Rewilding projects in which you will be working closely with external advisors (including the Knepp Estate team) in which you will try and establish rewilding at other parts of Nyetimber such as Amberley. Ensure all statutory submissions for such areas are complied with.  

Maintenance

  • Working closely with the Facilities Administrator, to develop, manage and maintain the implementation of a 5-year rolling planned maintenance programme for all buildings, land, and equipment across all departments.
  • Working closely with the Facilities Administrator and in coordination with relevant Head of Departments, to develop and maintain a comprehensive life-cycle asset management strategy plan for all buildings, key equipment, vehicles and infrastructure. Strategy to be proposed to CEO. 
  • To oversee the progression of all maintenance and service contracts ensuring all specifications are met within agreed time, budget and quality requirements.
  • Oversee the digitalisation and maintenance of essential records, ensuring all property and building drawings are up to date, PPM records are maintained and in conjunction with finance team, the asset register is maintained
  • Responsible where requested to deal with maintenance issues in relation to the privately held properties (including Nyetimber Manor, the garden with the ponds and the new acquisition Lower Jordans). The CEO’s private land and buildings at and around Gay Street are also included as part of the responsibilities of the EOM and Facilities department to maintain.

A track record of successful development and delivery of complex strategies.- Essential
