Job Description 
The Role:
Estates Compliance Officer
Reporting : Head of Estates
Hours : 37.5 hours per week, Monday to Friday across the full year, 5 weeks holiday
Salary : £29,400 per annum

Our Estate 

The Grange School occupies two separate sites for its Senior and Junior Schools located a five minute walk from each other. The facilities offered across the School are outstanding and continue to be developed by an ambitious estates plan, as recently demonstrated by the completion of our 6m Sports Centre in 2019. Key facilities include a 300 seat Theatre, a state of 
the art Sixth Form Centre, first class Science, ICT and D&T facilities across both sites.The post of Estates Compliance Officer is a key post to support the Head of Estates in ensuring that the facilities continue to thrive and develop to meet the aspirations of The Grange School students and our community.

Job Purpose

The Opportunity
Providing strategic, operational and technical advice to the Director of Finance & Operations on the development of the School estate and facilities, and of the supporting strategies for maintenance, refurbishment and construction of new facilities.

Ensuring the security, cleanliness, monitoring contracts/contractors, routine maintenance and refurbishment meets expectations and legislation.

Responsibility for effectively prioritising building maintenance tasks in line with budget.

The information below relates to both Junior and Senior school settings. This position represents a senior role within the school support staff structure.


Team Leadership

  • Leading, developing and managing a team of cleaners.
  • Agreeing daily/weekly task allocation for team with Head of Estates.
  • Performing routine/urgent maintenance and caretaking tasks as part of the team (including 
  • out of hours duty rota, car parking for major events etc).
  • Oversee maintenance schedules and evaluate reports, liaising with Head of Estates in 
  • relation to remedial action as required.


  • Oversee daily cleaning, conducting spot checks of each site, report findings and rectify issues. 
  • Ensuring that adequate supplies of cleaning materials and other supplies are available.

Statutory Compliance Checks

  • Ensuring all maintenance activity complies with all relevant statutory and regulatory H&S requirements.
  • To have knowledge of the location of all water and gas stop cocks and mains electricity power breakers etc.
  • To carry out H&S inspections and Risk Assessments across the school and report back on findings to the DFO/Headteacher and/or Governors.
  • Ensure the health & safety policy is implemented at all times, put into practice and is subject to review and assessment at regular intervals or as situations change.
  • Ensuring that all statutory checks are carried in line with required timeframes and associated records are kept for all site safety and legislative. This to include (although not exhaustive) water, fire, HVAC, Lifts, PAT testing, Lighting, Waste disposal, CCTV.
  • Ensure all site documentation is compliant and filed efficiently.
  • Produce an overall site compliance report termly for each site.

Routine Maintenance

  • Collating and prioritising requests for action/help from staff in conjunction with the Head of Estates.
  • Maintaining the School’s estate to a good, safe and secure standard and seeking to make improvements where possible.
  • Managing and developing a proactive planned maintenance programme for the Estates and facilities of the School, in conjunction with the Head of Estates.
  • Liaising with contractors, and managing them on-site; acting as first point of contact for on￾going contracts. Organising quotes for work up to £5,000 in accordance with school procedures.
  • Producing regular reports to the Head of Estates for work completed with plans for outstanding tasks.
  • Ensuring prompt and effective response to maintenance problems both during the school day and out of hours.
  • Prioritising problems and communicate actions to the relevant staff.

Development of facilities/services

  • Planning and managing minor and supporting with major projects as agreed with the Head of Estates to ensure they are completed to high standards, are delivered on time and come within budget.
  • Assisting in planning and commissioning of new buildings.


  • To act as a key holder, carrying out security procedures for the buildings and grounds. The routine and non-routine opening of premises and grounds.
  • Providing access, where possible, to the premises and classrooms in the event of snow or minor flooding or similar emergency situations. 
  • Preventing unauthorised access onto the school premises or grounds. (Note: in fulfilling this responsibility all employees are expected to work within established school procedures.
  • Carrying out school based procedures in the event of fire, flood, breaking and entering, accident or major damage.

Additional Responsibilities

  • Liaising with such external agencies as necessary and build good relationships.
  • Complying with HSE / local authority requirements and keep up to date with changes.
  • Maintaining appropriate aspects of the Department’s documentation and record keeping in conjunction with the Head of Estates.
  • Sit on the Health and Safely Committee and monitor and minimise hazards throughout the school.
  • Deputising for the Head of Estates in his/her absence as appropriate.
  • Undertaking such training and study as required in order to stay abreast of legislation and developments relevant to the post.
  • Recommending training for the wider Estates Team and other staff with Health and Safety responsibilities as applicable.
  • Liaising with the Head of Estates and relevant school staff to co-ordinate events and special school occasions such as Open Day, Sports Day and Prizegiving.
  • Attending school events as reasonably required, involving some weekend and evening working.
  • The post holder will also be expected to carry out any other duties as reasonably requested by the Head and the Director of Finance and Operations.

The Person 



  • Hold recognised training/qualifications associated with premises 
  • Significant experience or skills in a trade
  • Ability to understand and apply regulations such as Health and Safety, manual handling, COSH, Legionella.
  • Ability to operate and understand electrical/mechanical systems
  • Risk Assessment experience/qualification
  • Competent at basic building repairs and maintenance
  • To be able to use small industrial, electrical and mechanical equipment



  • Delivery of minor capital projects from planning to completion

  • Experience of working in a school setting and the specific risks at play in a school environment
